The short version

The earlier you tell us, the more we can return. Money we've already spent on your behalf (permits, community hosts, transport commitments) is what stops being refundable as the date approaches. Wherever cash refunds reduce, we offer credit vouchers so your money stays usable.

1. If you cancel

Counted in days before the experience start date. Applies per participant, to the amount paid.

2. Free options before cancelling

1. Transfer to another person — free until 7 days before start, if the replacement meets the eligibility/fitness requirements and signs the Participation Agreement.

2. Reschedule to another date/experience — free once, 15 days or more before start, subject to availability and price difference. A second reschedule, or rescheduling 14–7 days before, carries a 20% fee. No rescheduling under 7 days.

3. If we cancel before the experience starts

If we cancel for any reason — insufficient group size, permit refusal, forecast unsafe conditions — you choose either:

We are not liable for your other expenses (train/flight tickets, hotels, gear bought). We recommend booking refundable travel and holding travel insurance.

4. If the experience is interrupted midway

Mountains, forests, and weather have the final say. If an experience already underway must be shortened or aborted for safety, weather, or an order of forest/government authorities:

If you leave an experience midway — for personal reasons, ill health, or removal under the Terms — no refund or voucher is payable, and evacuation or onward travel costs are yours.

5. Force majeure (before start)

If an experience cannot run due to events beyond everyone's control (natural disaster, epidemic, government order, sudden permit withdrawal), and we cannot offer a new date you accept, we issue a 100% credit voucher valid 12 months. Cash refunds in force-majeure cases are limited to amounts not yet committed to third parties, which we will document transparently on request.

If you must cancel for a documented medical emergency (yours or immediate family), write to us — regardless of the timeline above we will offer at minimum a 50% credit voucher, at our discretion up to 100%. We ask for supporting documents only to be fair to everyone.

8. Eco-circle, workshops, and other paid events

Until Circle membership opens, any paid one-off workshops or community events follow the same table in Section 1 with timelines halved (15/7/3 days).
